The university has adjusted the meal reimbursement policy for when employees travel.
Under the new policy, snacks are no longer reimbursable (except for special dietary needs) and a limit of three meals a day will be reimbursed.
The changes are in accordance with a ruling by the state attorney general that snacks are personal maintenance items and are not eligible for reimbursement.
Employees traveling and who have special dietary needs for more than three meals per day can be reimbursed for snack purchases. The special dietary need must be documented with a physician’s note.
Under the redefined policy, while traveling, only the day’s three largest dollar value receipts will be reimbursed, unless documentation of medical condition is attached.
If meals are provided by the lodging facility or as part of a conference/official function, no reimbursement will be made for those meals.
The three meals per day limit includes the purchase of meals at a venue or when buying groceries for meal preparation. All reimbursement claims for food require receipts.
The new policy went into effect on Nov. 1.
